The Challenge
A dental clinic chain operating in Kyiv and Mykolaiv received dozens of daily booking inquiries through their website, Google Maps, Instagram, and messengers. Administrators manually responded to each message, clarified the required service, checked doctor availability, and proposed appointment dates. As inquiry volume grew, the team became overwhelmed — patients waited too long for responses, especially during evenings and weekends. An additional problem was missed appointments: patients forgot about their bookings, creating empty slots in the doctors' schedules and costing the clinic revenue.
Our Solution
We built an automated booking and reminder system on n8n with an AI assistant that handles first-contact patient communication. When a patient submits a request or messages the clinic, the AI collects key details: the dental service needed, whether they're a returning patient, preferred city (Kyiv or Mykolaiv), and desired date and time. The system then creates a patient record in the CRM, checks available slots in the doctors' schedules, proposes booking options, sends a confirmation, and notifies the administrator. The system also sends automatic appointment reminders — one day before and a few hours before the visit — significantly reducing no-shows.
