The Challenge

A consulting firm offering legal and accounting services for businesses experienced rapid growth in inbound leads — but quantity didn't mean quality. A significant portion of inquiries came from individuals with personal legal questions, entrepreneurs looking for free advice, prospects with no budget, or requests outside the firm's specialization. Sales managers were forced to contact every single lead to understand their actual needs. The result: most of their time was spent on unqualified conversations, while genuinely valuable prospects received delayed responses and went cold.

Our Solution

We built an AI-powered lead qualification system on n8n that handles the entire first stage of client communication. When a new lead submits a request, the system automatically initiates a conversation to clarify their needs. The AI assistant asks targeted questions — whether the inquiry is business or personal, what type of service is needed, the scope of the engagement, whether they need a one-time consultation or ongoing support, and how urgent the matter is. Based on the answers, the system scores and profiles each lead. Qualified leads get a CRM record with full conversation context, and the manager is notified immediately. Unqualified inquiries receive helpful automated responses without involving the sales team.

How the System Works

When a new lead submits a request on the website, n8n triggers an automated workflow. The system sends the prospect a message and asks them to clarify a few details about their inquiry. The AI assistant conducts a structured conversation, asking whether the request relates to a business or personal matter, which type of service is needed, the scale of the task, whether they need a one-time consultation or ongoing support, and how urgent the issue is. The responses are analyzed by the AI to build a complete lead profile and qualification score.

Lead Filtering Logic

Based on the information gathered, the system automatically determines whether the inquiry fits the company's target profile. For qualified leads, the system creates a client record in the CRM, saves the full conversation and request details, notifies the assigned manager, and hands off a pre-qualified lead with complete context. The manager receives a prospect who has already been through initial screening — their needs are understood and documented. For inquiries that don't match the firm's profile, the system continues the conversation autonomously, providing helpful information without requiring any manager involvement.
